How to identify Status of actions from previous management reviews

    We are using as our management review the series of activities in our business system that cycle through the year. We are summarizing these activities so to speak and documenting that summary as record of the results of our management review activity. Since our management review is an on-going process throughout the year how can any documentation we retain adequately show the "status of actions from previous management reviews" when the review is an on-going event/process?

    Normally the activities are assigned a date to be finished.
    What you can do it is to ask responsibles to give an approximate progress of such activities in the date MR is held, and show status in the management review sessions.

    It sounds like you're not actually tracking the actions other than maybe in minutes? Assigning completion dates should not be done in a vacuum - the action owner should have input as to what a reasonable completion date is. Also, if you're not establishing what completion criteria is for the action, these things can linger on and on. (Yes, I have seen actions assigned of something like "improve the process.") Finally, if the actions taken to address risk and opportunities, the standard requires that effectiveness is assessed. So in addition to completion criteria for these, a means to measure effectiveness should also be defined.

    Since your review is continuous, so is your assessment. You simply need to include documentation that actions were completed, you can summarize them at the end, "so-and-so action was completed on July 26, 36 days after we initiated the project, we will monitor the action for effectiveness over the next xx months." Also include any monitoring assessments in later documentation of meetings (minutes or report of meeting, etc).
