    Hello everyone,

I am new to the quality management side of my business. we are a small shop with few people wearing many hats. We are struggling with revising our document control system especially external standards and customer supplied drawings. Currently drawings have to be assigned to a job which is physically done and signed off on each print. However we find machinist want to hold on to them for use on future jobs for their notes and programming.

Specifications and standards have no assignment procedure, but we have procedure to check quarterly for new revisions, this seems very futile as sometimes these specifications wont be used for years or the old revision is required. To put it short I have a few questions:

    1. Does anyone use reference only prints that can be used for notes, calculations etc.

    2. How do you control external documents like specifications and standards for release, access, distribution?

please keep in mind we are a small company with limited resources, simple is best.

    Thanks in advance

Maybe give the machinists a sheet to make notes and make that available (if the job is run again) and that would help you also comply with the "Organizational Knowledge" requirements too.

To expand on Andy's answer, if each part has it's own folder (online or hardcopy, either way) previous machinist's note could go into the folder, too, with the revision clearly marked on the notes.
In order to ensure the right revision is being used at all times, I believe prints need to be more closely monitored, and not be scattered all about. That's something I need to fix at my small shop, as well.
