Adding new process.

    Our company is merging with another company and the current processes (invoice, po, quotes, ect.) that we list in our Quality Manual are changing. To a paperless process, but this is going to take quite some time.

    We are due for an audit and the current process will not match the process in our Quality Manual.

    How do I handle this?

    I would talk to your CB about the affect of the merger on your certification. Then proceed from there.

    This should be fine, as long as you can demonstrate there is a process in place to make the necessary changes.

    For example in the last audit we had, the auditor found a discrepancy in one of our procedure requirements.

    I simply showed that this had already been identified in an internal audit, and a change process was underway to correct the discrepancy. The auditor was satisfied with this...

    So, this is a perfect opportunity to show how you are using you management system to manage the changes:

    Management Review - did you hold one to present/discuss the impact of the changes on your QMS?
    Quality Planning - do you have a plan to manage the changes?
    Document Control - are you controlling changes to the documented system through your DC procedure?
    Internal Audits - are you auditing the revised processes?

    This should not be a problem. Auditors should be able to audit your system even your QM is undergoing renovation. If an auditor would require you to "put everything on hold" so they can audit what you have currently written in your QM - is doing a disservice to "continual improvement".
