Document Control Question

    Do documents outside our quality system, such as safety audit forms, need to be controlled?

    If the documents are going to be used as a record in the future - I believe yes they need to be.

    Our are not -- they are part of our safety documentation. Never had an issue.

    Lance - what do YOU understand by "controlled"? You posted this under the ISO/TS 16949 forum, so can you expand your question/thought. Just because you get an answer "yes" or "no" (and the score is even so far), it's helpful to have some further background for us to answer your question.

    What our organization, a ISO/TS16949:2009 Tier 1 supplier to an automobile manufacturing company, understands to be controlled is to have a document number, revision date, revision log at the bottom of the document, the document number to be put into an Excel file showing what the document is compared to the number, have it posted on our online matrix, and reviewed every 3 years. I think that it is totally non-value added to mess around with controlling safety documents.

    Well, I certainly wouldn't do all THAT in the name of "document control", because a lot of it is, frankly, nonsense. However, if you understand the fundamentals of document control (and what you describe isn't) and the purpose, then safety documents (whatever they are) probably need to be approved and made available for use, removed when changed etc. People need access to the most appropriate documents which management have approved, including safety documents. Giving the wrong warnings, warnings with errors etc could be costly. And, guess what? Control of documents is in OSHAS 18001!
