    There's a lot. There are documents that you need to "maintain" and there are documents that you need to "retain".

    Here's a list of documents that you need to maintain:
    • scope of the EMS;
    • environmental policy;
    • the identified risks and opportunities;
    • the procedure for identifying risks and opportunities;
    • the actions plans for addressing risks and opportunities;
    • the identified environmental aspects and environmental impacts;
    • criteria for determining significant environmental aspects;
    • the significant aspects;
    • the legal and other requirements (compliance obligations);
    • environmental objectives and associated programs;
    • operational controls (e.g. waste management, spill containment, smoke emission controls, etc.);
    • emergency procedures;
    • etc.
    Here's a list of documents that you need to retain:
    • records of competence (e.g. training certificates, educational records, other certifications);
    • EMS related communications (e.g. memos, emails, press releases; periodic reports);
    • monitoring and measurement records (e.g. data on emissions and discharges, data on water/electricity consumption);
    • compliance obligation records (e.g. regulatory inspections, periodical reports, discharge analysis, permits);
    • internal audit records (e.g. audit program, audit plans, checklists, audit reports);
    • management review records (e.g. meeting minutes, memos, agenda);
    • nonconformity, corrective action records (e.g. nonconformity reports, corrective action records)
    • etc.

    Be very careful about sample documents. How will you know they are "good" samples? How will you know that what you get is applicable to your organization? Be very careful what you seek when asking for samples.

    When you say "should" what are you basing this comment on? Good practice? Actual ISO 14001 requirements? Simply saying something "should be" doesn't provide a reason or background to justify it.
