Services company - what processes to document?

    Our company provides services to government clients (defense program offices mostly) - assessments, strategic plans, trade studies, etc. Most are provided in person with an accompanying PowerPoint or report, and most are provided under broad statements of work, i.e. each report / assessment is not called out as a specific contract deliverable (CDRL).

    To what extent should we document this work?

    We have our support functions like contracting, recruiting, finance documented - those seem straight forward - but it seems ridiculous to document a process on how to make a PPT or send an email to a customer

    What you have to do Ia to describe how this is done.
    E.g. a requirement is received from xxxx.
    The manager, gather the informaciĆ³n.
    - revises everything Is complete.
    - If something
    Is missing, contacts the client.
    -based in requirements, the analysis is developed.
    --Etc,etc.
    Something like this.

    It depends if your organization, how deep you need your documents.

    What you describe Astrojack, aren't processes, they're activities. Get your people who run these support functions together and ask them to define the "process" (inputs-activities-outputs). IT'll be a very rewarding/confusing/interesting experience...

    Clause 4.4.2 answers this by:
    "To the extent necessary, the organization shall:
    a) maintain documented information to support the operation of its processes;
    b) retain documented information to have confidence that the processes are being carried out as planned."

    There are documents that you have to maintain and there are documents that you have to retain. There are also documents that are required by ISO 9001 and there are documents determined by the organization as being necessary for the QMS. Refer to the matrix below to guide you on where ISO 9001 mentioned about these documented information.

    Other documents that can add value to any organization that subscribes to ISO 9001 are specified in the Guidance on the requirements for Documented Information of ISO 9001:2015 - see attached document.
